Job Title: Executive Assistant
A private family office seeks an experienced, and detail-oriented Executive Assistant. The right candidate will be outgoing, energetic, flexible, resourceful, and adaptable while managing multiple tasks and projects. This individual should be based in New York City with the flexibility to travel domestically and internationally. A great education from an ivy league college, strong writing skills, interest in charities and non-profit work, and creative background is a huge plus. Responsibilities include but are not limited to:
Responsible for organizing and managing a heavy travel and meeting calendar with a complex schedule of personal matters
Conducting proprietary research pertaining to the organization’s programming as needed
Office administrative tasks and responsibilities pertaining to the principal
Assisting with managing corporate & personal expenses, including reconciling credit cards & preparing expense reports as needed
Assist with guest events and party planning for business and personal, dinners, social gatherings, philanthropy, etc.
Assist with managing finances, reconciliation, and preparing expense reports
Personal shopping, executing special requests, running errands, and related duties as needed
Responding to a heavy volume of phone calls and directing messages accurately
Booking flights, coordinating travel arrangements, and organizing detailed itineraries.
Drafting email and mail correspondence as well as coordinating mass e-mails
Communicate and coordinate with domestic staff, vendors and contractors, etc. as needed
Act as primary gatekeeper and liaison for principal
Schedule: Typical schedule is Monday-Friday 9 AM – 5 PM with the flexibility to work overtime as needed.
Travel: Must be flexible to travel between NY and FL
Compensation: Salary is generous but final offers depend on experience.

Minimum 4-year degree from accredited College or University (Top rated Universities are a plus)
Minimum of 5 years related experience supporting prominent individuals; both in personal or business capacities
Excellent references from both current and previous employers
Prioritize executive tasks and multi-task effectively
Strong communication skills, both written and verbal
Proficiency in all areas of Microsoft Office and Mac OSX; must be very tech-savvy
Experience planning, managing, and executing events and gatherings
Professional mindset and the utmost discretion
Ability to work independently and as part of a team
Detail-oriented with exceptional organizational skills
Flexibility with hours and schedule; available to work overtime as needed
Valid US work authorization
Valid Driver’s License plus
