Performs administrative support activities. Duties may include fielding telephone calls, receiving and directing visitors, word processing, creating spreadsheets and presentations, filing, and faxing.
Extensive software skills are required, as well as Internet research abilities and strong communication skills.
Maintains workflow by studying methods; implementing cost reductions; and developing reporting procedures.
Resolves administrative problems by coordinating preparation of reports, analyzing data, and identifying solutions.
Prepare and reconcile invoice unmatch summary report.
Work with Accounts Payable to resolve change orders, credits required and line item variances.
Process after-the-fact purchase orders for invoice payment.
Process request for returns on damages and warranty replacements, process requisition change orders, investigate and resolve discrepancies between purchase order, receiving, and invoicing.
Ensures operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques.
Provides information by answering questions and requests.
Maintains supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.
Completes operational requirements by scheduling and assigning administrative projects; expediting work results.
Contributes to team effort by accomplishing related results as needed.
Performs other duties as assigned.
High school diploma plus one year secretarial experience or equivalent combination of education and experience required.
